The Process

The client’s back-office team processed purchase orders received from salespersons and customers directly, in varied formats, then entered them into the order management system. Each order often carried specific instructions product customization or shipping requirements that needed manual interpretation before the order could move forward.

∙ Volume seasonality straining a manual process during peak periods

∙ Entirely manual handling, from data entry to instruction interpretation

∙ Multiple systems to navigate depending on the product ordered

∙ Handoffs between teams increasing the chance of errors at each step

The Solution

Aiwozo combined three technologies to take a purchase order from raw document to routed action, without manual handling at each stage.

Extraction agents, using Intelligent Character Recognition (ICR), pulled data from purchase orders regardless of format and tagged it for downstream use.

Interpretation agents, using NLP, read the free-text instructions field on each order and translated it into a concrete, actionable requirement customization requests, shipping instructions, and the like.

Execution agents, powered by agentic agents, took the extracted data and interpreted instructions and updated the order management system directly, routing specific actions to the relevant teams for completion.
